Training packages

You can create training packages for each type of Training package:  Resident training, Train Classes, One-on-One training.


Creating packages


Click on File, Packages, Training packages.




Click on New Trn Package.

The package service tells you what kind of package it is.
Train- C is for Classes.
Train - O is for One-on-One training.
Train - R is for Resident training.

Enter the code and name (these can be the same), the cost and how many days are in the package.

For Class packages, you must select the class for this package.  Training packages can only be used for their specific class and cannot be used for any other class.



In order for Training classes to show, they must be set to Allow drop-ins in File, Lists, Training Classes.





In order for KC to count the package down, you cannot create an invoice and sell a package.  It must be sold either through the pet card, the client card, or the appointment screen.


KC has the option for pet packages and client packages.  A pet package covers only that pet.  A client package covers any pet that client has.


How to sell a package


Pets


Open the pet card.  Click on the Packages tab.


Hit Add.  An invoice will open.  Choose the right package from the drop down now.


You can either pay the invoice now or hit OK to save it to be paid later.


Boarding packages



Please note:  You cannot sell a pet package and client package on the same invoice.  However, you can pay both invoices at the same time.


Because KC has to attach the package to the pet and/or client card, you cannot put anything on the invoice besides packages.  However, once you hit OK to save the invoice, you can open it later and add other items.


Once you save the invoice, you will see the package on the pet card with the number of days left.







Clients


Open the client card, Packages tab.


Hit Add.  Choose the right package from the drop down and either pay the invoice now or save it to be paid later.


Through the appointment screen


Resident training and One-on-One training:  Click Purchase pet package or Purchase client package on the Appointment tab.





Training Classes - These packages can only be sold through the pet or client card.


Adjusting packages


There are four options on this screen.  Add, Modify, Delete, Reload


Add - Allows you to sell a package to this client or pet.


Modify - Allows you to modify the package.  You can adjust the number of days and enter an expiration date.  


Please note:  You are not able to adjust the package to more days than was in the original package.  So if your client buys a 10 day package, you will not be able to modify the package to more than 10 days.


Delete - Allows you to delete the package.


Reload - Allows you to reload the package.  This will be explained later in this article.


Boarding packages


Expiration dates on packages


You can add expiration days to the package.  Once the package hits that date, it is no longer a valid package even if there are days available.





Using the Training package


Now you are ready to make an appointment and use the package.  You must set your options in File, System Options, Training tab.  There are two options here.


Apply Resident Training package for Board and Train, or Train only - When a pet is in for resident training, he is charged for the boarding part and the training part.  These options are so you can decide if the training package is only to be used for the training part, or if it is to be used to pay for both parts (board and train).  

Apply negative values - Check these options if you want the packages to go negative.  That means if they have 0 days left, KC will display a message asking if you want the package to go negative.  If you say Yes, the package will go to -1.  If you say no, you need to create the invoice so the client can pay for the day.




Make a training appointment for the pet.  On the appointment screen, you are able to uncheck this box if you don't want to use a package day for this appointment.  This box defaults to being checked.




You will see his package days available on the schedule.


Please note:  If it is a client package, it will show the same number of days available for each pet. 


In this case, Paris has 4 days left, Philly has 5 days left and Vally has no days.  Bilby the client has 9 days available.




KC always deducts one package day per pet, no matter if it is a pet package or a client package.  If a client brings 3 dogs, his client package will go from 10 to 7, one day for each pet.


When it's time to take a day off the package, KC will first look at the pet card to see if there is a package available.  If there isn't, it next looks at the client card and will use an available package.

Resident Training

These packages are used on the invoice.  This example has the package set to cover both the Boarding and Training cost.

In our example, the Bilby pets stayed for 8 days.  
Paris used all 4 of his pet days and used 4 of the client package days.  The client now has 5 days left.
Philly used all 5 of his pet days and used 3 of the client package days.  The client now has 2 days left.
Vally has no pet packages so he used the remaining 2 client package days.  He owes for the remaining 6 days.



One-on-One Training and Training Classes

These are used when the pet is checked out.  They do not show on the invoice.

It's recommended that you always create the invoice for training appointments.  If the invoice is blank, then a package day was used and you can cancel out of the screen.  If the train line shows on there, that means either the pet didn't have a package or it wasn't used for this appointment.  This is so you can address the issue now instead of in the future.

In this example, Chico has 10 days left, Rango has no days and the client Harris has 3 days.



Upon checkout, Chico will go down to 9 days and Rango will use one of the client days, taking that down to 2.



You can print Reports, Training, Training Package Days Used to see what pets used package days.

Please note:  This report will print for the option chosen on the schedule:  Resident, One-on-One, or Classes.







Reloading packages


On the packages tab of the client and pet card, there is a button called Reload.  This allows you to reload the same package.


Click on the package to highlight it.  Hit Reload.  Say YES to the prompt.





An invoice will have the package already filled in.  You can either pay the invoice now or save it to pay later.


Please note:  When using the Reload option, you are not able to choose a different package on the invoice.





Packages with negative values and the Reload option


When you have packages will negative values, you must use the Reload option to get rid of the negative value.


For our pet, he has a package with -2 days. 




When you reload the package, KC deducts 2 days from the 3 day package and now he has 1 day left.
