Kennel Connection Multi-location Vaccinations requirements for KC7 upgrade

Important Vaccination Information

 

If you are currently running a Multi-Location database (If you have location drop downs over the Client Explorer and on your schedules) and you’re getting ready to upgrade to Kennel Connection 7, this information pertains to you. Please make sure it’s read and understood before proceeding with the upgrade as this could help prevent data issues with vaccinations.

What’s different? Kennel Connection 7 has had to change the way vaccinations work with pet’s that are moved from one location to another. In previous versions, if a pet originated from the MAIN Location and was moved to another location, the pet’s vaccinations would still be tied to the MAIN Location. This has changed as popular demand preferred the pet (while keeping the vaccinations recorded to the pet card) to pull the vaccinations from the new location’s vaccination list (File > Lists > Vaccinations.)

What does this mean for you? This means that ALL locations MUST have the same vaccinations in (File > Lists > Vaccinations) BEFORE you upgrade to KC7. If all the locations do not have the same vaccinations on file and you upgrade to KC7, any pets that were moved from their original location to another location will lose their vaccine records. You will need to dot the following in Kennel Connection 6:

 

**IMPORTANT** BACKUP YOUR DATABASE before making any changes. DO NOT delete ANY vaccinations you still use. If you need to change the name to match another location, simply rename the vaccination. If you delete the vaccination and re-add it, it will drop from ALL pets that had that vaccine and there is no way to recover these except restoring your backup.


- Start with Client Explorer set to MAIN Location and go to File > Lists > Vaccinations. Make sure only the vaccinations you still use are there and clean out/remove anything no longer needed. Take note of spelling and formatting as they must match across locations. For example, if MAIN Location has a vaccine called “Bordetella 6MO” & another location has “Bordetella 6 Month”, that will not work. They must match including spelling, spacing and characters.

- After cleaning up and taking note of the vaccinations under the MAIN Location, close the Lists window and change the Client Explorer location drop down to the next location and repeat the above. Do this until all locations have matching vaccinations.

Once this is complete, backup your database again and you can now schedule your upgrade appointment or run the upgrade yourself.


What have we done to prevent an upgrade that has vaccination issues due to the above? We have added code to the upgrade utility that will (before upgrading) check the vaccinations.

Example 1: IF the MAIN Location has vaccinations entered and the other locations have zero vaccinations entered, the upgrade will go through smoothly without any warnings and all vaccines from the MAIN Location will be copied over to the other locations (File > Lists > Vaccinations) list. This is to prevent pets that may be moved to a different location in the future from losing vaccination records.

Example 2: IF the MAIN Location has for example 10 vaccines entered and the other locations have 3 or 5 or whatever it may be, the upgrade utility will present a warning informing you of the mismatch. At this time, you can choose to continue (with possible data issues from pets losing vaccines) or cancel to go back into KC6 and manually adjust all locations vaccination lists so they match properly.

Please note that if you choose to continue the upgrade WITHOUT making sure the vaccinations match across all locations and you had moved pets from original location to new location in the past and do so in the future, you could have pets missing their vaccination info. At that point, you’ll need to manually determine what vaccinations those were and re-add them appropriately. Kennel Connection cannot assist in fixing this issue.
