You can setup subscriptions for daycare packages, which will automatically renew packages when they get to a certain number remaining or based on an interval. The credit card on file will be automatically charged and an email sent to the client confirming the purchase.
In order to use Subscriptions, you must process credit cards through Kennel Connection. Contact Sales to enable processing.
Sales@SoftwareConnectionLLC.com or 1-888-486-4343 option 1.
Click on Setup, Packages, Daycare Packages.
Click on the package and click to Add a Subscription.
Please note: Only the super admin ID (the email used when creating your cloud account) will have access to add and manage Subscriptions.
IMPORTANT: You can add multiple subscriptions to each package.
Enter a subscription name. This is what the employee will see when adding a subscription for the client.
Note that the Package name cannot be changed here.
Choose the Renewal type: Usage-based Renewal or Regular Renewals.
Usage-Based Renewal
These packages will automatically renew once the number of days left on the package gets down to your limit.
IMPORTANT: If you add a subscription to an existing package and it's already at your renewal level, the package will not renew until the next usage.
For example, if your package is set to automatically renew when it gets down to 2 days and you add a subscription for a package that has 1 or 2 days, it will not renew until the next time the package is used.
Enter the number of days to hit before the package is to be renewed, 2 in our example.
If you use expiration dates on packages and the remaining days left expire, you can opt to Cancel the subscription or Renew the subscription.
Regular Renewal
These packages renew on a set date from the purchase date.
In this example, the package will renew monthly. If the package is bought on March 15, it will automatically renew on April 15th, then May 15th and so on.
If you use expiration dates on your packages, the package will expire based on your renewal interval (i.e. weekly, bi-weekly, monthly, etc).
For example, if a package is setup to have a 3-month expiration date but you add a subscription that is automatically renewed each month, the package will expire on the Monthly renewal. It will not use the 3-month expiration date.
If you do not use expiration dates on packages, adding a subscription will make them expire based on your renewal interval.
Subscription Duration
Here you can have a subscription renew indefinitely (you can still manually cancel the renewal on the client/pet card) or you can set a limit of how many times the subscription will renew.
Discount
Add a discount amount here if applicable. If nothing is entered, the regular package price will be charged.
Special Offer
Set dates here if this subscription is only to be available for a certain date range, example, Mother's Day Special or Summer Savings.
Once you have the subscription entered, now you are ready to add it to a client or pet package.
If the client or pet already has this type of package, you will now see a Subscribe button under the Packages tab.
When purchasing a package, you will see two options: Subscribe to Package and One-Time Purchase.
One-Time Purchase is when the client does not want to sign up for a Subscription.
When subscribing to a package, you will see this screen. If you offer multiple subscriptions for this package, you'll be able to choose from the list.
You are not able to change any other options on this screen as they are set on the File, Packages setup page.
The page will also summarize what this subscription will do and have a place to add a note if needed.
You can cancel here, go back to the previous screen or continue to Billing.
Choose the payment method or add a new card on file and hit Subscribe & Pay.
This step sets up the subscription and chooses which card will be automatically charged for each renewal.
You still need to pay the invoice for this package.
This will take you to the invoice where you will complete payment like normal.
If you need to modify the package after a subscription has been applied (adjust the number of days or update the expiration date), you will need to remove the subscription before you modify.
On the client card, click on the Subscription tab, click the '...' and Cancel the subscription.
You can then modify the package. You will then need to add the subscription again.
IMPORTANT: The Subscription tab only shows on the client card. It will not display on the pet card. It will only display if there is an existing subscription. You cannot add a subscription through this tab. It must be added when buying a package or through the Packages tab on the pet or client card.
On the Subscriptions tab, you can also Update Billing (change the credit card to be charged), Edit the subscription (add a note if needed) and View the history of the subscription.
Because all Subscriptions show on the client card and subscriptions can be added from the pet level, there is a Pet column to show you what pet it is assigned to. If the column is blank, it is a client package subscription.
Renewals
When a Usage Renewal is to happen, you will see an indicator on the Dashboard. In this example, the package is to be renewed once it gets down to 1 day left.
Once this pet is checked in, the package will go down to 1 day and Kennel Connection will automatically renew the package. An invoice and receipt will be created and their number of package days available will update on the schedule and on the pet/client cards. In this example, it's a 10-day package so the count will update to 11 days left.
The invoice will include a note that this is a subscription renewal.
To view the status of subscriptions, click on Financials, Subscriptions.
Here you can search for clients or package types. You can change when packages are to be renewed, either per client or per package.
